Fearless Counseling LLC

Effective Date: August 26, 2026 Last Updated: August 26, 2026

Fearless Counseling LLC (“Fearless Counseling,” “we,” “us,” or “our”) respects your privacy and is committed to protecting any personal information you share with us. This Privacy Policy explains how we collect, use, and protect information when you visit fearlesscounseling.com.

By using our website, you agree to the terms of this policy.

Important: This Policy Is Separate From Our HIPAA Notice

This Privacy Policy describes how we handle information collected through our website from visitors.

It is not the same as our Notice of Privacy Practices, which describes how we protect the health information of our clients under the Health Insurance Portability and Accountability Act (HIPAA).

If you are a current or prospective client, please review both documents. Our Notice of Privacy Practices is available at fearlesscounseling.com/notice-of-privacy-practices.

Information you submit through this website before becoming a client is generally not protected health information under HIPAA. Once you become a client, information about your care is governed by our Notice of Privacy Practices and by federal and Missouri law.

1. Information We Collect

Information you provide. When you contact us, submit a form, or request an appointment, we may collect your name, email address, phone number, and any message you choose to include.

Our contact form asks only for what we need to reach you. Please do not include detailed health information, clinical concerns, or descriptions of your symptoms in the form. We will follow up to arrange a confidential conversation.

Usage data. We automatically collect limited technical information such as IP address, browser type, pages visited, and time spent on the site.

Cookies and similar technologies. We use cookies to support basic site functionality and to understand general traffic patterns. You can disable cookies through your browser settings, though some features may not work correctly.

What we do not use. We do not use advertising or marketing tracking pixels on this website. We do not use Meta Pixel, retargeting tags, or similar tools that would allow third parties to build advertising profiles based on your visit to a mental health website.

2. How We Use Your Information

We use the information we collect to:

Respond to your inquiries and schedule appointments

Provide and improve our services

Understand general website performance and usage

Send newsletters or educational content, but only to people who have subscribed

Comply with legal obligations

Marketing is separate from care. Our newsletter list is maintained separately from our client records. We do not add clients to marketing lists because they are clients, and we do not use protected health information for marketing purposes. You can unsubscribe from any marketing email at any time using the link in the message.

3. How We Share Your Information

We do not sell your personal information.

No mobile or text message information will be shared with third parties or affiliates for marketing or promotional purposes.

We may share information with:

Service providers who help us operate the website and practice, including our website host, email provider, analytics provider, newsletter platform, and electronic health record system. Vendors that handle protected health information are required by written agreement to safeguard it.

Legal or regulatory authorities when required by law or when necessary to protect the rights, safety, or property of our clients, our staff, or the public.

4. Contact Form Submissions

Information submitted through our contact form is transmitted by email and stored in our business email system.

This form is not an encrypted or secure channel. Please do not use it to share detailed personal or health information.

Submitting a form does not create a therapist client relationship. A therapeutic relationship begins only after intake paperwork is completed and a first appointment is scheduled.

This form is not monitored around the clock and is not for emergencies. If you are experiencing a mental health emergency, call 988 or 911, or go to your nearest emergency room.

5. Live Chat

Our website offers a live chat feature operated by a third-party provider. When you use live chat, your messages, along with technical information such as your IP address, browser type, and the pages you viewed, are transmitted to and stored by that provider on their servers.

Live chat is intended for general questions only, such as our hours, location, rates, payment options, and how to schedule an appointment. It is not an encrypted or secure channel, and it is not covered by a business associate agreement. Please do not share health information, symptoms, diagnoses, treatment details, or any other sensitive personal information through live chat.

If you need to discuss something clinical or personal, please call us at (913) 390-3459 or use our contact form, and we will follow up with you directly.

Using live chat does not create a therapist client relationship. A therapeutic relationship begins only after intake paperwork is completed and a first appointment is scheduled.

Live chat is not monitored around the clock and is not a crisis or emergency service. If you are experiencing a mental health emergency, call or text 988, call 911, or go to your nearest emergency room.

Chat transcripts are retained by the provider for a limited period and then deleted. If you would like a transcript removed, contact us at info@fearlesscounseling.com and we will request its deletion.

If a chat conversation does contain health information, we handle it according to our Notice of Privacy Practices and remove it from the chat platform as soon as we are able.

6. Data Retention

Our website does not store form submissions. Information you submit is sent directly to our business email and is not retained in any website database.

The email containing your message is kept in our business email system only as long as needed to respond to you and to maintain reasonable business records. You may request deletion at any time using the contact details below.

If you become a client, your clinical records are retained according to our Notice of Privacy Practices and Missouri record retention requirements, which are separate from this policy.

7. Your Rights

Depending on your location, you may have the right to:

Access the personal information we hold about you

Request correction or deletion of that information

Opt out of marketing communications

Withdraw consent where applicable

To exercise any of these rights, contact us at info@fearlesscounseling.com or (913) 390-3459.

If you are a client, your rights regarding your health information are described in our Notice of Privacy Practices.

8. Data Security

We use reasonable, industry standard measures to protect information collected through this website. No system is completely secure, and we cannot guarantee absolute security. This is why we ask you not to send detailed health information through the contact form.

9. Age Restrictions

This website and all forms on it are intended for use by adults 18 years of age and older. We do not knowingly collect information from anyone under 18 through this website.

If you are seeking services for a minor, a parent or legal guardian must submit the request and complete all intake paperwork.

If you believe a minor has submitted information through our website, please contact us and we will delete it.

10. Telehealth and Service Area

Our services are available to clients who are physically located in Missouri at the time of their appointment. Submitting a form from outside Missouri does not mean we are able to provide services to you.

11. Third-Party Links

Our website may contain links to other websites. We are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any site you visit.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of the site after changes are posted constitutes agreement to the updated policy.
